Overview

When a case is created in Fertility Consent (often imported from the clinic management system), the patient and partner can occasionally be assigned the wrong way round, and the sex of a same-sex couple may default to female/male. This article explains how to swap the two roles so the correct person is recorded as the patient. The swap can only be made before the patients log in and complete their consent forms.

Prerequisites

  • Access to the Fertility Consent case for the couple concerned.

  • The patient and partner ID numbers (from the clinic management system) to confirm you are editing the correct case.

  • The case must be at a stage before the patients have logged in and completed their consent forms. Once consents are completed the roles cannot be swapped.

Instructions

Correct the sex (if required)

  1. Open the relevant case in Fertility Consent.

  2. Check the recorded sex of each person against the clinic management system.

  3. Set each person to the correct sex (for example, female / female for a same-sex female couple) before swapping roles.

Note: Same-sex couples imported from IDEAS can be assigned the wrong roles, and the system may default a couple to female/male. Correct the sex first so the consent forms generated match the couple.

Swap the patient and partner roles

  1. Locate the switch arrows displayed between the patient and partner on the case.

  2. Select the switch arrows to swap the patient and partner roles.

  3. Confirm that the correct person is now shown as the patient and the other as the partner.

Note: Swapping the roles does not affect the export to IDEAS. Fertility Consent exports to IDEAS based on ID numbers, so the patient/partner order does not change the export of completed consent forms.

Warning: If the consent material or forms have already been completed, the roles cannot be swapped. In that case, create a new case and assign the correct patient and partner before the couple logs in.

Expected Outcome

The case displays the correct person as the patient and the other as the partner, with the correct sex for each, and the couple can be sent the right consent forms for treatment.
